Blue Ribbon Enrollment Annual Calendar

If  you have questions, contact the State 4-H Office at 785-532-5800.  Updates to the software will be distributed as they become available and data back ups are submitted to the State 4-H Office. 

January
Since the bulk of your enrollments are probably done, send a zipped backup of your entire Data folder to the State Office so you will have a safe off-site backup.

March
Run a test of the ES-237 Verification Report and check the information.

May
Before the busy summer season, an inexpensive insurance policy for your Blue Ribbon data is to send a zipped backup of your data file to the State 4-H Office.  We've helped many people restore lost data this way! Instructions can be found on the Help Sheets page of the Blue Ribbon website.

August
If Group enrollment data has not been entered throughout the year, after your fair is a good time to start entering it.

September
Kansas State Fair in Hutchinson: Please be patient in asking for technical support during August and September.  We try not to ask for information during your county fairs in July and August; we just ask the same courtesy.

Remember that your Combined Processing-Final Report (ES-237) will be due to the State Office in October along with a zipped file of all your data.

October  
  1. Backup of your entire data folder (zip up the files) is due to the State Office along with a PDF of your Combined Processing-Final Report (ES-237) no later than the first working day of October.
     
  2. Remember to print out re-enrollment forms for all Members/Leaders. (This must be done prior to year-end processing, as no forms can print from an inactive member file). Actually, the re-enrollment forms can be printed at any time prior to the year-end processing, but cannot be printed after year-end processing.
     
  3. ***Complete Year-End processing AFTER you have heard from the State Office that your data and report are acceptable.***

    This Year-End processing causes these things to happen:

    a) Increments in age by one.
    b) Increments in grade by one.
    c) Increments the year in 4-H by one.
    d) The status of all Members and Leaders to Inactive 
    e) The status of "Others" and "Alumni" will remain unchanged.
     f) Increments the number of years in a project by one.
  4. Each county must manually go to File/County Information and set the Program Start Date to 12/31/(current year using all four digits)
     
  5. Check Preferences, be sure they are set properly.   If you have questions call the State 4-H Office.
     
  6. Update Master Code Files: Clubs, Activities, Awards,  Certification and Project codes. These are on the Blue Ribbon website.
     
  7. Begin to enroll and re-enroll organized community club Members and Leaders.

November-December
Update the Program with any changes from the State 4-H Office.

Continue to enroll and re-enroll organized community club Members and Leaders.
