User Tips for Blue Ribbon Data Entry
In the member ID code you may have duplicate County and Club codes, but not duplicate member codes.  The database program will give an error message reading Key Violation if the system is asked to Save a record with a duplicate member code.

The Other category is used to make alternative mailing label lists like County Extension Offices in the area, board members, or extras for your mailing list.  These do not count for ES-237.

Primary Club - Make the entry from the Club tab at the bottom of the Member/Leader screen as a  Primary Club, not in the member/leader ID number at the top of the screen. 

Parent/Family screen - If both parent names are put in the Parent1 box,  both names will be appear on reports and both parents will appear on mailing labels.

A Terminated Member is designated as someone who quits. Terminated Members count in ES-237 stats so do not delete Terminated members until after the ES-237 report is run.  Then run the Utility|Delete Terminated Members before year end processing.

The 4-H age is automatically calculated by the computer.  Be sure to use 4 numbers for the year on Birthday date.  When typing in the birth date, the age does not automatically calculate until the record is saved.

Leader Type - When Youth Leader is checked, if the 4-H'er is a Junior Leader, you must check which type of volunteer they are.  In the Project tab at the bottom of the page be sure to also check Junior Leader as it applies.

Leader Type - Any Youth Leader or Adult Leader must have the appropriate box(es) checked or they will not be counted on ES-237.  You may have 1,2, or all three marked. 

Save does not Link, but Link saves.

In the Blue Ribbon program the Path to your DATA folder is stated in the status bar (bottom of the screen).

Any Club Code other than the Primary Club Code is counted as a duplicate for the member/leader in the ES-237 report.

Inactive members will stay forever in the program unless you delete them. Retaining large numbers of inactive records will slow the performance of your program.

To remove Inactive members you can delete them one by one or go to Utilities/File Utilities/Select Utilities/Delete Inactive. There are many ways to delete them here.
