Mid-Year Cleanup

Submitted by Terry Williams

Make your local end of year process quicker by doing a little mid-year cleanup.  Using the End of Year Cleanup & ES-237 Report resource to guide you through each process, completing the following tasks can give you a head start:

#1 Empty Families (pg. 6)
Check for "empty" families, also known as families without members.  Kansas currently has 158 empty families in 4HOnline.  These families created a basic family account and then exited the online system, without enrolling anyone.  It would be beneficial to contact these families and assist them in completing the enrollment process.  If the family isn't joining 4-H this year, delete the empty family profile.

#2 Incomplete members (pg. 7)
Check for incomplete members.  Kansas currently has 235 "incomplete" youth enrollments.  These are youth who began the enrollment/re-enrollment process, but didn't submit their information for local review.  It could be they forgot to click the [Submit Enrollment] button or maybe they had questions and forgot to complete it.  It would be beneficial to contact these families and assist them in completing their enrollment.  If the member isn't going to re-enroll in 4-H this year, delete the current year's information and they will go back to an "Inactive" status.

#3 School Enrichment or SPIN Club Group Enrollments
Using the Group Enrollment resource as a guide, create group enrollments for any educational programming (includes FNP) that have been completed this 4-H Program year to date.
