End of Year Enrollment Management

The Kansas 4HOnline enrollment system runs with our 4-H Program year (September 30 – October 1) and enrollment challenges can occur for new families who unknowingly join “late” in the 4-H Program year.  When this occurs, local Extension staff must determine if youth should pay the program fee and whether their enrollment(s) should be accepted.

If the family has been participating in 4-H this current year, the program fee applies and member enrollments should be approved.

If the member has not been participating during the current year and the intention was to enroll for the upcoming 4-H year, local Extension staff should leave those members “Pending” in 4HOnline.  It will allow the family to use this existing 4HOnline profile for reenrollment come October 1st.  Any online program fee payments will remain unprocessed as long as the enrollment is not accepted.  If program fee check payment arrives late in the 4-H year, the State 4-H Office will contact the local Extension unit for direction.

After rollover, all members will be “Inactive,” ready to reenroll for the new 4-H Program Year and program fee payments should be sent to the State 4-H Office as usual.
